Ha pasado poco más de un mes desde nuestro Evento **"Sonidos de Bienestar"**, desarrollado el pasado 13 de agosto en el Centro de Arte Los Galpones en Caracas, en nuestro post: [Sonidos de Bienestar - Un encuentro lleno de vibras positivas](https://peakd.com/hive-131951/@holos-lotus/efttxdkv) hicimos un adelanto de lo que fue nuestra experiencia y todo lo vivido en ese día, con énfasis en la descripción de actividades y todos los participantes que hicieron posible nuestra jornada. Hoy quisimos abrir un espacio para compartir algunas reflexiones, buenas prácticas y también destacar oportunidades de mejoras en cuanto a los aspectos logísticos y de organización de un evento de esta naturaleza. Para empezar es importante destacar que el diseño de la actividad fue proyectado para un evento de 100 - 120 personas, por ello fue necesario ubicar un espacio que pudiera albergar esa cantidad de personas al menor costo posible. Gracias a la colaboración de @camiloferrua conseguimos una extraordinaria oportunidad en el Centro de Arte Los Galpones, quienes nos facilitaron el espacio, a cambio de permitir que los usuarios de dicho Centro Cultural pudieran integrarse a la actividad y que esta fuera totalmente gratuita para todo público. Esta condición no permitió que fuera un evento auto-financiado, sino que tuvimos que requerir patrocinio para el desarrollo de la actividad.

It has been a little over a month since our event **"Sonidos de Bienestar "**, held last August 13 at the Centro de Arte Los Galpones in Caracas, in our post: [Sonidos de Bienestar - A meeting full of positive vibes](https://peakd.com/hive-131951/@holos-lotus/efttxdkv) we made a preview of what was our experience and everything we lived on that day, with emphasis on the description of activities and all participants who made our day possible. Today we wanted to open a space to share some reflections, good practices and also highlight opportunities for improvement in terms of logistics and organization of an event of this nature. To begin with, it is important to highlight that the design of the activity and the planning was projected for an event of 100 - 120 people, so it was necessary to locate a space that could accommodate that number of people at the lowest possible cost. Thanks to the collaboration of @camiloferrua we got an extraordinary opportunity at the Centro de Arte Los Galpones, who provided us with the space, in exchange for allowing the users of the Cultural Center to join the activity and that it was completely free for the public. This condition did not allow it to be a self-financed event, but we had to require sponsorship for the development of the activity.

Por fortuna al requerir el apoyo a @valueplan y @guiltyparties nos dieron el patrocinio para cubrir los gastos asociados a la contratación de sonido, la adquisición de material publicitario sobre #Hive y algunos detalles logísticos. En nuestra wallet recibimos de parte de @valueplan la cantidad de 1.180 HBD para el desarrollo de nuestra actividad. A nivel logístico se contrató un servicio completo de sonido para cubrir los requerimientos del espacio y la agrupación musical, esta contratación cubría dos servicios: el montaje de los equipos para interiores (dentro del galpón) y los equipos para exteriores (espacio del jardín) que tenían otras especificaciones para cubrir los requerimientos de la agrupación musical. Asimismo, para la experiencia centrada en sonidos y bienestar, contratamos a un profesor de música con larga trayectoria a nivel nacional e internacional para que nos condujera por medio de diferentes dinámicas en la conexión que queríamos promover para alcanzar bienestar a través de la música.

Fortunately, when we asked @valueplan and @guiltyparties for support, they gave us the sponsorship to cover the expenses associated with hiring sound, acquiring advertising material about #Hive and some logistical details. In our wallet we received from @valueplan the amount of 1,180 HBD for the development of our activity. At a logistical level, a full sound service was hired to cover the requirements of the space and the musical group, this contract covered two services: the assembly of equipment for indoor (inside the shed) and outdoor equipment (garden space) that had other specifications to meet the requirements of the musical group. Also, for the experience focused on sounds and wellness, we hired a music teacher with a long trajectory at national and international level to lead us through different dynamics in the connection that we wanted to promote to achieve wellness through music.

Para la difusión de la actividad pagamos publicidad por Instagram, ello nos dio mayor alcance en la promoción. Adicionalmente, asistimos a dos programas de radio sin costo alguno con el propósito de difundir el evento. Sin embargo, cabe destacar que los gastos por la publicidad en Instagram no habían sido presupuestados al inicio. Contamos con la participación de 147 asistentes durante la jornada, y estamos convencidos que la difusión que hicimos a través de las redes sociales y los medios de comunicación tradicionales tuvieron un impacto positivo en esta marea de gente que tuvimos la dicha de recibir el 13 de agosto en el Centro de Arte Los Galpones. Por el gran número de personas que estimábamos recibir, tuvimos que requerir la colaboración de algunos Hivers para que nos apoyaran en la logística, contando con la asistencia de diferentes colaboradores de nuestra Comunidad, así como de @hiveccs. Dentro de los gastos logísticos incluimos la compra de franelas estampadas con el logo de #Hive para identificar al staff que estaba prestando el apoyo, además de cubrir los costos del almuerzo para todos ellos y el personal de la agrupación musical y trabajadores del Centro de Arte Los Galpones. Nuestra gratitud para @mosa71, @aguamiel, @evev, @luisacarola, @alexi26, @rosahidalgo, @marielarc07, @esalcedo, @pelulacro, @mundomanaure, @dimeshana, @luvilozada, @madefrance, @psyshock, @moisesjohan, @jorgetenzi, @solsticia.

For the dissemination of the activity we paid for advertising on Instagram, which gave us greater reach for the promotion. Additionally, we attended two radio programs at no additional cost. However, it should be noted that the expenses for advertising on Instagram had not been budgeted at the beginning. We had the participation of 147 attendees during the day, and we are convinced that the dissemination we did through social networks and traditional media had a positive impact on this tide of people that we were fortunate to receive on August 13 at the Los Galpones Art Center. Due to the large number of people we expected to receive, we had to request the collaboration of some Hivers to support us in the logistics, with the assistance of different collaborators of our Community, as well as @hiveccs. Within the logistical expenses we included the purchase of t-shirts printed with the #Hive logo to identify the staff that was providing support, in addition to covering the costs of lunch for all of them and the staff of the musical group and workers of the Centro de Arte Los Galpones. Debido a la magnitud del espacio, fue necesario adquirir varios pendones para ambientar el lugar. Gracias al apoyo de @hivecreators @enrique89 y @samgiset no fue necesario pagar el diseño de pendones para Hive sino que se utilizaron los diseños que se tenían disponibles y que gentilmente nos facilitaron para el evento. Se imprimieron en total 2 pendones grandes y 2 medianos, se adquirieron con las estructuras de roll up y tipo araña. Para los participantes se imprimieron stickers de Hive cuyo diseño también fue facilitado por el equipo de @hivecreatorsday. Adicionalmente, y gracias al patrocinio de @liketu se hicieron varias rifas durante el evento (se sortearon 5 franelas), adicionalmente se entregaron a todos los asistentes volantes informativos y llaveros con la marca Liketu. Para el registro fotográfico y de vídeo contamos con el apoyo de @mundomanaure y su equipo de trabajo @guarenasflow. Si necesitas este tipo de servicios, te recomendamos altamente a estos chicos por su mística de trabajo y la calidad y creatividad que tienen en sus trabajos.

Due to the magnitude of the space, it was necessary to acquire several banners to set the ambiance of the place. Thanks to the support of @hivecreators @enrique89 and @samgiset it was not necessary to pay for the design of banners for Hive, we used the designs that were available and that they kindly provided us for the event. A total of 2 large and 2 medium banners were printed, they were purchased with roll up and spider structures. Hive stickers were printed for the participants, whose design was also provided by the @hivecreatorsday team. Additionally, and thanks to the sponsorship of @liketu, several raffles were held during the event (5 t-shirts were raffled), additionally, informative flyers and key chains with the Liketu brand were given to all attendees. For the photographic and video registration we have the support of @mundomanaure and his team @guarenasflow. If you need this type of services, we highly recommend these guys for their work mystique and the quality and creativity they have in their work.

En la mesa de refrigerio servimos café, té frío y caliente, agua y galletas para todos los asistentes, en general tuvimos que adquirir insumos para cubrir la atención de un aproximado de 160 personas de acuerdo a las estimaciones proyectadas. Para el servicio ofrecido durante los refrigerios contamos con el apoyo de varios Hivers que facilitaron herramientas e insumos de su hogar como termos, bandejas, entre otros. En cuanto a la decoración, además de los pendones, tuvimos un autobús decorativo para tomar selfies elaborado por @evev para la Comunidad, la mayoría de los insumos requeridos para su elaboración fueron cubiertos por la Comunidad.

At the refreshment table we served coffee, hot and cold tea, water and cookies for all attendees, in general we had to acquire supplies to cover the attention of approximately 160 people according to the projected estimates. For the service offered during the refreshments we had the support of several Hivers who provided tools and supplies from their homes such as thermoses, trays, among others. As for the decoration, in addition to the banners, we had a decorative bus to take selfies made by @evev for the Community, most of the inputs required for its elaboration were covered by the Community.

En resumen podemos dejar algunas consideraciones que representan para nosotros oportunidades de mejora para este tipo de eventos: 1. Es necesario para un evento de esta magnitud contar con al menos 45 días para su montaje, esto permite la negociación con más proveedores de servicios y cubrir los detalles sin contratiempos, también da mayor tiempo para la difusión del evento en medios de comunicación tradicionales, cuyas pautas deben ser acordadas con suficiente tiempo de antelación. 2. Resulta oportuno considerar que la Comunidad cuente con algunos implementos para este tipo de eventos como termos de café, ciertos utensilios y materiales, equipos como videobeam, laptop, micrófonos, entre otros. 3. La publicidad en Instagram extendió el alcance de difusión, es importante considerar esta estrategia y su costo en futuras ocasiones. Estimamos que en el evento hubo una participación mayor a 65% de personas no Hivers, que potencialmente puedan sumarse a la Comunidad. 4. Es importante prever un estipendio para los Hivers que participen en este tipo de actividades como staff de apoyo, para que al menos puedan cubrir los gastos en que incurren en traslados y otros conceptos como almuerzos, entre otros. Sabemos que todos los que han participado en nuestros eventos lo hacen con el mayor cariño y disposición de colaborar, pero entendemos también que es necesario reconocer el esfuerzo económico que realizan para hacerse presentes. En esta oportunidad no tuvimos esa previsión, sin embargo @elmerlin transfirió a la Comunidad 380 Hives para transferir a cada uno de los Hivers pertenecientes al Team de Apoyo la cantidad de 20 Hives a cada uno. Agradecemos su generosidad y el reconocimiento del esfuerzo de todo el team de apoyo.

In summary we can leave some considerations that represent for us opportunities for improvement for this type of events: 1. It is necessary for an event of this magnitude to have at least 45 days for the assembly of the event, this allows the negotiation with more service providers and to cover the details without setbacks, it also gives more time for the diffusion of the event in traditional media, whose guidelines must be agreed with sufficient time in advance. 2. It is appropriate to consider that the Community has some equipment for this type of event, such as coffee thermoses, certain utensils and materials, equipment such as videobeam, laptop, microphones, among others. 3. Advertising on Instagram extended the reach of dissemination, it is important to consider this strategy and its cost on future occasions. We estimate that in the event there was a participation of more than 65% of non-Hivers, who could potentially join the Community. 4. It is important to provide a stipend for the Hivers that participate in this type of activities as support staff, so that they can at least cover the expenses incurred in transportation and other concepts such as lunches, among others. We know that all those who have participated in our events do it with the greatest affection and willingness to collaborate, but we also understand that it is necessary to recognize the economic effort they make to be present. This time we did not have that foresight, however @elmerlin transferred to the Community 380 Hives to transfer to each of the Hivers belonging to the Support Team the amount of 20 Hives each. We greatly appreciate his generosity and the recognition of the efforts of the entire support team.

En este cuadro presentamos el resumen financiero, y deseamos con ello precisar los logros que consideramos más importantes del desarrollo de esta actividad: 1. Si bien la actividad surgió con ocasión a la celebración del segundo aniversario de la Comunidad de Holos&Lotus, la estrategia de diseño de una experiencia de bienestar permitió incluir a mayor número de personas que no hacen vida en Hive, lo cual consideramos una excelente forma de atraer más miembros a Hive. 2. Buen número de participantes, en su mayoría no Hivers que se interesaron en el ecosistema de Hive. Asimismo, incrementamos nuestra base de datos para generar invitaciones futuras para todos nuestros eventos. 3. Proyección de #Hive y @Liketu gracias al espacio desarrollado por @danielvehe en el que presentó a los participantes toda la potencialidad de nuestra blockchain y los múltiples beneficios de pertenecer a ella. 4. Mayor integración de los Hivers que hacen vida en nuestra Comunidad y establecimiento de alianzas como las realizadas con @celfmagazine para el desarrollo de otros eventos. 5. La contratación del servicio de sonido con los requerimientos técnicos necesarios para las distintas actividades, así como, la agrupación musical y la ponencia de Erin Vargas, permitió el alcance del objetivo del evento de conectar a los asistentes con una experiencia de sonido y bienestar. 6. Para futuros eventos poseemos material publicitario (pendones) que se pueden reutilizar. 7. Excelente atención de los invitados en cada una de las áreas (recepción, refrigerios, despedida) gracias al trabajo impecable y coordinado de todos los Hivers que conformaron el staff de trabajo.

In this table we present the financial summary, and with it we wish to specify the achievements that we consider most important of the development of this activity: 1. Although the activity arose on the occasion of the celebration of the second anniversary of the Holos&Lotus Community, the strategy of designing a wellness experience made it possible to include a greater number of non-Hivers, which we consider an excellent way to attract more members to Hive. Good number of participants, mostly non-Hivers who were interested in the Hive ecosystem. We also increased our database to generate future invitations for all our events. 3. Projection of #Hive and @Liketu thanks to the space developed by @danielvehe in which he presented to the participants all the potential of our blockchain and the multiple benefits of belonging to it. 4. Greater integration of the Hivers that make life in our Community and establishment of alliances such as those made with @celfmagazine for the development of other events. 5. The contracting of the sound service with the necessary technical requirements for the different activities, as well as the musical group and the presentation by Erin Vargas, allowed the achievement of the event's objective of connecting the attendees with an experience of sound and wellbeing. 6. For future events we have advertising material (banners) that can be reused. 7. Excellent attention to the guests in each of the areas (reception, refreshments, farewell) thanks to the impeccable and coordinated work of all the Hivers that made up the staff.

Tuvimos un saldo no cubierto dentro del patrocinio por gastos imprevistos que fueron surgiendo luego de nuestra solicitud, los mismos fueron cubiertos por nuestra moderadora y fundadora @miriannalis con recursos de su propio peculio. Tenemos la intención de requerir el reconocimiento de estos gastos a @valueplan, pero en caso que no puedan ser cubiertos, estimamos evaluar la posibilidad de hacer un powerdown de nuestra cuenta @holos-lotus hasta cubrir el monto de 275$. Esperamos que estas consideraciones y reflexiones sirvan como referencia para otras Comunidades que se animen a realizar actividades de esta naturaleza. Destacamos también el invaluable apoyo de @valueplan, @guiltyparties, @elmerlin y @liketu para el desarrollo de nuestro evento, que no hubiera sido posible sin su patrocinio. We had a balance not covered within the sponsorship for unforeseen expenses that arose after our request, which were covered by our moderator and founder @miriannalis with resources of her own. We intend to request the recognition of these expenses to @valueplan, but in case they cannot be covered, we estimate to evaluate the possibility of making a powerdown of our account @holos-lotus until the amount of $275 is covered. We hope that these considerations and reflections will serve as a reference for other Communities that are encouraged to carry out activities of this nature.
